Full Job Description: 

The Client Administrator is primarily responsible for client administration services, as well as providing a broad range of support to the CEO, Head of Operations and Financial Advisers (IFA’s) in the provision of high-quality ongoing service to prospective, new and existing clients. The Client Administrator plays a key role in contributing to and enhancing the overall client experience

The job description will primarily include, but not be limited to the following:

1. Client Administration

                1.1 New business

  • Assist the CEO with the preparation of investment proposals and investment mandates.
  • Assist IFA’s and clients with the on-boarding process by receiving documents and ensuring that all the requirements are met in terms of FICA and other relevant legislation.
  • Liaising with the IFA and client on any outstanding requirements and forwarding the relevant documents to the service provider of choice and liaising to ensure that the account is opened.
  • Liaising with the relevant parties in terms of script transfers and ensuring that the transfer takes place successfully.
  • Troubleshooting the on-boarding process as necessary to ensure a smooth and efficient process.

                1.2 Existing business

  • Assisting IFA’s and clients with any queries relating to existing client portfolios to ensure efficient and professional handling of all client related queries.
  • Facilitate the opening of additional accounts, as well as deposits and withdrawals into and from existing accounts.
  • Managing the client database on the internal network, and maintaining an accurate filing system, both paper and electronically.
  • Liaising with service providers in terms of general administrative requests and queries.
  • Assist with client monthly reporting.

 

Other key in-house areas of responsibility will include:

2. Compliance Administration (Training will be provided)

  • Working closely with the external Compliance officer ensuring the company adheres to legislation and compliance is up to date.
  • Be responsible for the maintenance of the Compliance file.
  • Attend to the quarterly and annual policy declarations.

3. Marketing support, office administration and website maintenance

  • Support the CEO with marketing initiatives, tools, web design and presentations.
  • Assisting the Head of Operations with back office support, including typing, photocopying, mailing, document scanning and editing.
  • Maintain company website as well as client and adviser portals.
