Short Job Description: 

Strategic based communications organisation urgently needs a professional Executive Administrator to support the managing director (based in Washington, DC) and deputy managing director (based in Cape Town) with basic financial management and office administration duties. Tertiary Business Administration degree or similar essential. Start date as soon as possible. 5 years experience essential.

Where will the person be based? (Town/Suburb/work-from-home/remote): 
Southern Suburbs, office 2 days a week and remote 3 days (can vary)

Full Job Description: 

Please note the monthly salary for this role is negotiable, depending on experience and skill set. The position is open immediately and the start date is as soon as possible. The successful candidate will demonstrate the potential to grow into the role of operations coordinator.

Key responsibilities

  • Efficient and professional administrative support to the managing director (based in Washington, DC) and deputy managing director (based in Cape Town)
  • Manage client and contact databases
  • Reception and telephone answering duties
  • Update project management calendars
  • Prepare marketing presentations
  • Prepare invoices (SageOne)
  • Manage payables and receivables
  • Oversee and coordinate general office administration
  • Minute meetings as required
  • Book travel
  • Update and manage filing systems
  • Produce a range of business correspondence to a high professional standard
  • Attributes and behaviours

  • Minimum grade 12 (matric)
  • Administrative and/or legal secretarial qualification
  • Bookkeeping or accounting background
  • Excellent English writing skills
  • Minimum of five years’ experience as an executive assistant or in a similar role
  • Advanced MS Office skills, including Excel and PowerPoint
  • Basic familiarity with Apple platforms
  • Excellent typing skills
  • Valid driver’s license
