Full Job Description: 

As a retired executive (working in both Johannesburg and London), our client requires a personal assistant that will manage the secretarial administration as well as the logistical/facilities management requirements of the family properties, (including the farm in the Midlands, and beach home on the North Coast. You will also liaise with local management agents for the homes in London, and Paris.

Responsibilities include:

  • Dairy management and day to day administrative needs, including all related logistics and meeting preparation.
  • Managing the facilities of various properties - rates, levies and ad-hoc maintenance and staff
  • All related administration of staff at the properties, including making payments, and managing payroll and related staff issues, UIF etc, as required  
  • Arranging flights and travel as required
  • As there is a considerable amount of written work, dictaphone typing/shorthand is required
  • The suitable candidate must be tech-savvy
  • The regular output of e-mails, papers, speeches and written work which has been commissioned. Excellent command of written and spoken English essential. (Proofreading and editing experience a plus).
  • Maintaining a comprehensive filing system and being able to access documents, either hard copy or electronic, quickly
  • Maintaining ledgers of staff borrowings, to action with payroll as required
  • Maintaining contract with security providers, including permanent guards at the front gate of the property. 
  • Responsible for the maintenance and arrangments thereof at the various properties when required. Making payment for such services and ensuring that work is done is as required. 
  • Check/review and bank statements, bank card payments etc for SA, CH and UK accounts.
  • Liaise with SA tax adviser and facilitate all necessary documentation and actions. 
  • Running errands as required
